The documents you need for installation and for the tender process, included in the project price.
Introduction
What we supply, and what the client provides
You receive a full set of documents showing exactly what goes where and how it is installed: a layout plan, installation instructions and a schedule of elements. Where the scope of the project requires it, we also provide a visualisation and a price quotation.
There is no separate charge for preparing these documents — they are included in the project price. We match the pack to what it has to cover: a single decoration needs a different set of documents from an installation spread across several locations.
We also prepare documents for tender submissions. One question comes up almost every time: structural calculations. These are produced for us by an external engineering practice and are not part of the standard set, but we supply them whenever the tender conditions require them or the client asks.
Some items stay with the client. Electrical testing and test certificates fall outside our scope. Using part of the highway requires a permit, which the client normally applies for. Approvals with the lighting or highway authority are usually handled by the client too, although we can take these on where needed.
Once the work is complete, we hand over a signed installation report, which completes the project on the documentation side.

Which documents are needed
The first thing to establish is what the documents are for: production and installation only, or a tender submission as well. That decides what goes into the pack and the order in which we prepare it.

Documentation for production and installation
This includes a layout plan, installation instructions and a schedule of elements, with a visualisation and a quotation added on some projects. The production team, the installation crew and the client’s site supervisor all work from the same set of documents.

Structural calculations on request
Where the tender conditions require them, or the client asks for them directly, we commission an external structural engineer to prepare the calculations and supply them with the rest of the documentation.

Sign-off with an installation report
The work is completed with a signed installation report confirming that the agreed scope has been carried out. The client keeps this document together with the set of materials issued earlier.

Who asks about documentation
A tender requires everything to be clear in advance: what the documentation package covers and what remains the client’s responsibility. That is where the first questions about documents usually come from — most often from the people putting the tender together. Facilities managers ask as well, because they have to agree the work with building management, security and technical teams before our installation crew arrives, as do the people responsible for the site where the decoration is to stand. A full set of documents also helps wherever a decision is made by several people and has to rest on more than a conversation about how it will look.
